Instrument Rental Form

Providing as much detail as possible will expedite the inquiry process. The Series will secure, to the extent possible, an instrument featuring the preferences specified on the rental form. Please note that selection may be limited due to availability of rental instruments in your host city and the number of (Junior) Finalists renting the same instruments. We will assist (Junior) Finalists in the order that rental requests are received.

Instruments requested after the due date (indicated on the form below after you select the appropriate program) cannot be supported by the Series. (Junior) Finalists requesting to rent an instrument beyond the deadline will need to make their own arrangements.

By submitting the instrument rental form below, the (Junior) Finalist and Responsible Party agree as follows:

1. 1. (Junior) Finalists and their families are responsible for the cost of the rental instrument secured by the Series. After you have submitted the rental form and our rental purveyor has located an instrument, additional cost information will be provided via email to the address listed on the rental form. To finalize the rental, you must confirm the rental specifications and cost by return email within 5 days. Once the (Junior) Finalist’s confirmation is received, the rental will be placed and 100% of the costs associated with the rental are the responsibility of the (Junior) Finalist and their family.
   2. Once confirmed, the quoted instrument rental cost and any associated cartage fees will be applied to the (Junior) Finalist account. The balance for rental must be satisfied by the final payment deadline.
   3. Instruments will be delivered to the program hotel the day before rehearsals commence and will be returned immediately following the performance. The Series will make the instrument available to the (Junior) Finalist and/or Responsible Party for inspection upon delivery, and by taking possession of the instrument the (Junior) Finalist or Responsible Party acknowledges that the instrument is in satisfactory condition. While the Series will do our best to support the (Junior) Finalist if the instrument is not found to be satisfactory, please note that rental instruments are transported often and may not be treated with the same care as a student’s personal instrument.
   4. (Junior) Finalists are responsible for the instrument while it is in their possession and until it is picked up following the concert. The instrument should be returned in the same condition as it was received, and any damages are the responsibility of the (Junior) Finalist and their family. In the instance that a repair or replacement is needed during the program, the (Junior) Finalist should contact the Series via their Chaperone as soon as possible, and the Series will contact the rental company for additional support.
